What is a zipped File

Have you received a file and you go to look at it or print it and you say “IT” doesnt work.
A lot of times it may because it is Zipped.

There are numerous zipping programs (7zip Winzip pkzip) on the internet but basically they all do the same function they compress Large files to smaller files to shrink them for transmission on the internet.

Most modern operating systems have compress and extracting programs built in you simply have to right click on the file and use the extract all option.

In the modern world there is no reason to have to FAX a document if you have a computer ,scanner and printer which most people have. The problem is that the reciever of your information has to understand basic computer functions like read,save,print,extract and many computer users have not learned the basics rather they have just got by using the same 10 functions they use.

Emailing attachments you can transmit usually a higher resolution and much clearer and legible document.

Many email clients (or Programs) have limits to the size of file they will allow as an attachment.
Take for instance your email service if it only allows an attachment of 6 megabits . If you have 20 pictures or documents you want to send to someone and each file is .5 megabit your email client would allow 12 files and that would equal 6 megabits.

Now the foolish and time consuming way way to send those files would be to send an email and individually attach the first 12 files (time consuming). That would be the maximum 6 megabits you can send.

You then would have to send a second email with the remaining 8 files = 4 MG attached to the email.

It would get to its receiving email as long as their limit was 6 megabits or more. But what if the receiving email address has a limit of 3 megabits neither of your emails would get there because they are larger than the recipient can receive.

If you use a zipping program you can put all the the files in one folder compress it down to a couple megabits and send it. Saving time and making it recievable by most email clients.

The process is easy just take your files and drop them in a folder . Then right click on the folder a grey box pops up and you click
“SEND TO”
a second box pops up and you choose “Compressed (zipped) Folder”. In a couple seconds later your “Zipped Folder” will appear on your desktop which you can attach it to your email and send.

This is where not so computer savey folk run into problems saying “IT” will not work. Or “IT” won’t send.
If you are in business you owe it to your customers to be cutting edge in offering a service.
Learn how to use the basic data services that computers are affording computer users.
Making it hard for computer users to move data will in the long run cost you business as those “High Tech ” people will move on to someone who they can work and deal with the way want to or are comfortable.

Some of us computer users do not use FAX machines as we find it a waste of time ,slow and the quality is degraded and cumbersome . However there are still those who use fax machines as that is what they learned growing up and have not stepped into this century of Data exchange. I would suggest to those stuck in the past business’s to get up to speed and embrace the emerging technologies because as a consumer I have the choice to choose who and how I do my business. And I for one Don’t use a Fax Machine or a rotary dial phones.
